Zadeja Systems builds and runs three kinds of system: E-Arta, which brings every channel your customers write on into one inbox; Reserva, which keeps your bookings in sync across the channels you sell on; and custom systems built around how a particular business works. This policy covers all three, and this website. We follow Albanian Law No. 124/2024 «On the Protection of Personal Data» and, where it applies, the EU GDPR.
Who is responsible
For this website and our own records, Zadeja Systems is the data controller. For everything inside your system, meaning your customers, your messages and your bookings, you are the controller and we act as processor on your instructions.
If you are a customer or a guest of a business that runs on our software, that business decides how your data is used. Contact them first, and we will help them act on your request.
What we handle
- E-Arta: the messages your customers send you across WhatsApp, Instagram and email, the contact details that arrive with them, and the notes and assignments your team adds to a thread. The AI reads the thread to draft a reply; nothing is sent automatically unless you turn that on.
- Reserva: reservations and guest details, your availability and rates, and bookings taken through the website that comes with the system.
- Custom systems: whatever the system we built for you is there to process, set out in your agreement with us.
- This website: what you send through the contact form, and standard server logs kept for security.
This site sets no analytics, advertising or tracking cookies. Our software is sold to businesses and is not aimed at children.
Why we use it
To run the system we built for you, to answer your enquiries, to keep the service secure, and to meet legal obligations such as accounting.
Before E-Arta goes live we set its AI up on your business, your services and your tone, so the replies it drafts sound like you. We do not sell your data, use it for advertising, or train anyone else’s AI models on it. A message is used to write that reply and nothing more.
Where it is held
Data is shared only with the providers we need to run the service, and with the channels you choose to connect, which handle it under their own policies once it reaches them. Some providers are outside Albania and the EEA, mainly in the United States; those transfers rely on the safeguards they offer, including the EU Standard Contractual Clauses. We may also disclose data where the law requires it.
Connections are encrypted, and access inside Zadeja Systems is limited to the people working on your system.
How long we keep it
Your data stays while your account is active, and we delete it on request. Enquiries sent through this site are kept for as long as we need them and no longer. Accounting records are kept for the period the law requires.
Your rights
You can ask us to give you a copy of your data, or to correct, delete, restrict, transfer it, or stop using it, and to withdraw consent where we rely on it. Write to us at the address below and we will reply within 30 days.
